Office Administrator

We are looking for a talented and professional Office Administrator to join our team in Horse and Jockey, Thurles, Co. Tipperary. You will bring your stellar organisational skills to a wide variety of tasks to provide essential administrative support, along with helping to ensure the site operates smoothly and efficiently.

The role

The main duties and responsibilities of the Office Administrator will be:

  • Greeting visitors to the office
  • Answering and directing phone calls; monitoring and responding to emails from customers, sales representatives and staff from other group companies
  • Arranging meetings and appointments
  • Performing a variety of administrative tasks such as drafting and circulating memos, letters, spreadsheets and forms, distributing incoming mail and arranging postage and courier services
  • Generating and sending customer invoices and maintaining and updating customer records
  • Assisting with creating and issuing production orders to replenish stock levels
  • Updating and circulating accounting, production, stock and sales spreadsheets
  • Ordering and keeping track of office and stationery supplies
  • Minute-taking
  • Arranging external catering and refreshments when required
  • Ensuring the company’s health and safety policy is always adhered to and reporting any breach of this to the Operations Manager
  • Any other duties as required

The ideal person will:

  • Demonstrate proven success in an administrative support role
  • Have excellent written and verbal communication skills
  • Have strong organisational and time management skills and be able to multi-task
  • Be proficient in the use of the Microsoft 365 suite and be able to learn to operate new or unfamiliar software and systems in a timely manner
  • Have the ability to deal with confidential information appropriately and discreetly
